Managing Programs
Using the Admin Panel to monitor programs, applications, and transactions
The Admin Panel is your command center for managing programs, reviewing applications, and handling payouts. Access it by from the navbar → Admin Panel → select your organization.
Organization Overview
The top of your admin panel shows four key metrics across all your programs:
- All Programs - Total number of programs in your organization
- Active Programs - Programs currently accepting submissions or in voting
- Total Applications - Sum of all applications across all programs
- Winning Applications - Applications that have been awarded
Programs List
Your programs appear as cards showing status, pool sizes, application count, and award type. Click Create Program in the top right to start a new one.
Hover over any card to access the management menu:
- View Program - See the public program page
- Edit Program - Modify settings (availability depends on program status)
- Duplicate Program - Create a copy with the same settings
- Reassign - Move the program to a different organization
- Delete - Remove the program (draft programs only, or contact support)
Reassigning a program to another organization may revoke your access if you're not an admin of that organization.
Program Status
| Status | What's Happening |
|---|---|
| Draft | Still configuring, not visible to public |
| Accepting Submissions | Open for applications |
| Voting | Submission period ended, voting active |
| Ended | Voting closed, awaiting settlement |
| Settled | Rewards calculated, transactions created |
Programs transition automatically based on your configured timeline. Settlement runs daily at midnight UTC.
Applications Table
The Applications section shows all submissions across your programs. You can:
Search by application name, applicant name, program title, or status.
Filter by specific program or by status (Draft, Submitted, Awarded, Failed).
Use the pagination controls to navigate large lists.
Managing Transactions
This is where you handle payouts after settlement. When a cycle settles, the system creates transactions for winner awards, voter rewards, and stake returns.
If You Chose Automatic Distribution
Transactions are automatically queued to your multisig (Safe or Squads). You just need to sign them in the multisig interface.
If You Chose Manual Distribution
You must manually queue transactions each cycle. This gives you a chance to review everything before funds move.
- Go to the Manage Transactions section in your admin panel
- Use the tabs to filter: All | Pending | Queued
- Review pending transactions (recipient, token, amount)
- Click Queue All Transactions to send them all to your multisig, or queue individually
- Once queued, go to your multisig (Safe or Squads) to sign and execute
If you're using manual distribution, you need to queue transactions after every cycle. Pending transactions won't pay out until you queue them.
Transaction States
| State | Meaning |
|---|---|
| Pending | Created by settlement, waiting for you to queue |
| Queued | Sent to multisig, awaiting signatures |
| Completed | Executed and paid out |
| Failed | Something went wrong (check multisig for details) |
Organization Members
Manage your team from the organization header. Click the dropdown menu to add members or edit the organization.
- Add members - Invite people by their Incented account. They'll get access to this admin panel.
- Set roles - Admin gives full access to manage programs and transactions. Member has limited access.
- Remove members - Revoke access when someone leaves the team.
This is useful for distributing the workload, especially for signing multisig transactions or monitoring applications.
Editing Programs
What you can edit depends on program status:
Draft: Everything is editable.
After Activation: Title, description, media, social links, pool amounts, winner selection, and slash percentage. Cannot change network, tokens, award type, or multisig owners.
Once Submissions Exist: Only description and social links. Cycle-related settings are permanently locked.
During Voting and Beyond: Almost nothing except description.
Common Tasks
Activate a program: From the program edit page, click "Activate Program". Make sure your multisig is funded first.
Fund your multisig: Find the address in your program settings. Transfer (Award Pool + Voting Pool) × number of cycles.
Run another cycle: Multi-cycle programs automatically start the next cycle after settlement. Single-cycle programs end after settlement.
Duplicate a program: Use "Duplicate Program" from the card menu. The new draft copies all settings but gets a fresh multisig.
Troubleshooting
Transactions stuck on pending? If you're using manual distribution, you need to queue them. Go to Manage Transactions and click "Queue All Transactions".
Program won't activate? Check that all required fields are filled and wallet addresses are valid for your chain.
Settlement hasn't run? Settlement runs daily at midnight UTC. If your voting period just ended, wait for the next run.
